ANNOUNCEMENT OF ADMINISTRATIVE POSITION OPENING POSITION: Associate Operations Director of Event Services POSITION CODE: 4489 DEPARTMENT: Event Services LOCATION: Redlands, CA APPOINTMENT: Administrative, Full-Time STARTING SALARY: Commensurate with experience AVAILABLE: Immediately INTRODUCTORY PERIOD : 12 Months POSTING DATE: August 16, 2019 APPLICATION DEADLINE: Open Until Filled DESCRIPTION: Works closely with the Director of Event Services in managing the strategy and refinement of the Event Services department in supporting the University and local community's events and activities. Duties and responsibilities include but are not limited to: --- Interact effectively with guests/clients, vendors, competitors, local community, catering provider, and other U of R departments in order to monitor guest satisfaction. Execute exemplary customer service to drive customer satisfaction and loyalty by assisting the customer and monitoring their satisfaction before and during their program/event. --- Support Event Planning team by installing protocols, policies and procedures to increase efficiency and productivity. --- Develop and implement strategic a sales and marketing plan and forecast to achieve determined objectives for facility rentals and summer conferences. Plan and oversee advertising and promotion activities including online, website, social media, electronic media, print, trade shows, conferences, and direct mail. Oversee and evaluate market research and adjust marketing strategy to meet changing market and competitive conditions. --- Direct sales forecasting activities and set performance goals accordingly. Ensure effective control of marketing results, and take corrective action to guarantee that achievement of marketing objectives falls within designated budgets. --- Survey, review, and analyze competition, market trends, customer needs, and comments in order to be proactive and adapt with business intelligence. --- Manage inbound and outbound event contracts and liability insurance for all event types. --- Develop and recommend product positioning, packaging, and pricing strategy to produce the highest possible long-term market share. Establish and maintain a consistent corporate image throughout all product lines, promotional materials, and events, as applicable. --- Responsible for mastery of all Accounts Payable and Accounts Receivable systems and protocols. --- Maintain awareness and knowledge of current changes within legal, regulatory, and technology environments that may affect operations. Ensure senior management and staff are informed of any changes and updates in a timely manner. --- Establish and maintain appropriate network of professional contacts. Maintain membership in appropriate professional organizations and publications. Attend meetings, seminars, and conferences and maintain continuity of any required or desirable certifications, if applicable. --- Serve as the liaison for and manage relationships with external vendors and consultants, as required. --- Refine the internal communication plan for the department, informing on inter-departmental communication as well as extra-departmental communication. --- Coordinate and deploy catering sales resources on-property to establish pull-through and sustainment of catering sales strategies and selling solutions. Develop a close working relationship with the catering office to execute strategies. --- Attends safety committee meetings on behalf of the Event Services department. --- Performs other duties and special projects as assigned or directed. MINIMUM QUALIFICATIONS: Bachelor's degree in Business, Hotel, Event Management or related field plus a minimum of two (2) years' experience in a similar position required or equivalent combination of education and experience, at least two years of experience as a supervisor required. Selected candidate will possess strong interpersonal skills, high level of independent judgment; proven and effective management and supervisory skills; strong verbal and written communication skills; excellent organizational skills; ability to function well independently and as part of a team; skills for adapting to a quickly changing, fast paced environment; and must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff. Some evenings and weekends hours required as needed. Selected candidate will possess a valid driver's license with a good driving record. A current DMV printout required after offer of employment.
