Under general supervision, provides comprehensive administrative, clerical, and logistical support to the Political Science Department and Public Policy Program. This position serves as confidential assistant and function as the key support staff person in coordination and implementation of the department's day-to-day office operations.



Duties and responsibilities include but are not limited to:

Serve as public face and liaison for the Political Science department and Public Policy Program: first point of contact for all students, faculty, staff, administrators, parents, and visitors.
Maintain offices, classrooms, computers, and office equipment.
Provide administrative support for faculty.
Act as liaison between College Dean's Office, CAS Departments and Programs, Registrar's Office, Facilities, Copy Center, Event Services and ITS.
Provides clerical support such as typing, filing and maintaining records; sorts and distributes mail, prepares and sends various mailings;
Ensures course schedules are built in SECTION
Process declaration of major, minor, change of advisor forms, degree modification forms, transfer course/study aboard course transfer paperwork.
Assists with budget management, processes check requests and reimbursement requests for expenses related to faculty activities and travel. Complete and review all travel and expense reimbursement forms for accuracy and completeness.
Manage all administrative and academic files, prepare forms and correspondence, create spreadsheets, and photocopy. Maintain department key box and order keys as needed.
Manage classroom scheduling and faculty course evaluations.
Supervise student workers including hiring, training, performance evaluation and time-sheet review.
Order office supplies and other materials as needed.
Maintain Moodle sites for department as well as some academic classes.
Provide clerical and organizational support for faculty searches.
Request keys, email accounts, and Moodle access for all new faculty employees.
Maintains department confidence and safe guards operations by keeping information confidential; adheres to all safety and housekeeping policies and procedures; contributes to Team effort by accomplishing related duties as needed.
Performs other duties and special projects as assigned or directed.



MINIMUM QUALIFICATIONS: Position requires a high school diploma or equivalent with two (2) years of additional coursework in related fields such as business, secretarial, computer software/word processing and spreadsheet programs plus three (3) years of related experience in a similar position or an equivalent combination thereof. Must be able to work with a high degree of autonomy in decision-making; be accessible to students and responsive to their needs. Considerable knowledge of clerical procedures and word processing, basic math skills and knowledge of record keeping required. Must have exceptional communication, organizational and customer service skills. Some evening and weekend responsibilities may be required. Ability to interact effectively with on and off-campus contacts and handle multiple tasks with tight deadlines. Must be able to competently interact with a diverse population of students, staff and faculty.
